Policies

The following policies apply to all student employees appointed to ºÚÁÏÊÓƵ’s hourly payroll. We encourage both current student employees and those seeking employment to carefully read and familiarize themselves with these policies. Each department may establish its own additional policies regarding student employment, provided they are consistent with the policies stated here. Students are encouraged to request a copy of any written statement of additional employment policies that apply in their department.

University Policy Statement on Student Employment

ºÚÁÏÊÓƵ continues to support the concept of student employment. In addition to earning money to help cover educational costs, students can gain significant experience and skills from their work. In support of that concept, the University strives to provide job opportunities through its hireBING service, in addition to positions offered through specific academic departments. Student employee positions require various levels of responsibility, experience and skill. Student employees are not entitled to University benefits, with the exception of New York state workers’ compensation and short-term disability. The University regularly reviews its student employment policies.

Work-hour restrictions

While the University recognizes the merits of student employment, it also stresses the necessity for students to prioritize their coursework. Therefore, the number of hours a student employee is permitted to work in any given pay period is limited, based on the type of position the student serves in. In general:

  • Student Assistant (undergraduate or graduate) may work up to 29 hours/week, combined across all assignments
  • Graduate and undergraduate Federal Work-Study: Determined by the amount awarded, but no more than 40 hours/week.
  • On-campus, part-time: Varies by position, refer to hiring organization regarding hours
  • Graduate Assistants: 20 hours/week
  • International students (all positions): 20 hours/week

Student employee pay rate

The pay rate for student employees is based on the indificual student’s experience and the level of skill required for each position. Pay rates are set by each student employee’s hiring supervisor and are subject to departmental approval. Pay rates for all SUNY campuses are based on an established pay scale starting at the New York state minimum wage.

Eligibility for on-campus employment

All student employees must be matriculated into an academic program and pursuing a degree full-time.

All students must be in good academic standing with the University. Students are in good standing if they maintain a cumulative GPA of at least 2.0 and are not currently on academic or disciplinary probation.

All student employees are required to complete a federal I-9 form available in the Human Resources (HR) office, Room 244, in the Couper Administration Building, to establish employment eligibility prior to starting any position. The Immigration Reform and Control Act of 1986 requires employers to verify the identity and employment eligibility of ALL employees. Before students are allowed to begin working they must present original, unexpired documents showing identity and employment eligibility. Students who cannot present the necessary documents will not be authorized to begin work.

Consult the I-9 form online and navigate to page 3 for a list of accepted documentation. Note that you may need to provide multiple forms of documentation to prove employment eligibility.

Prospective student employees are advised to submit New York and federal W-4 income tax forms, available in the HR office in the Couper Administration Building (AD) prior to starting any position.

All student employees are required to sign the Agreement to Protect Confidential Information before starting any position.

Students wishing to enroll in direct deposit of their paychecks must complete an application for direct deposit and bring a blank check connected to the debit account they wish to paid into to the HR office.

International students seeking on-campus employment are required to complete additional documentation in the International Student and Scholar Services office prior to starting any position. Students are encouraged to contact the ISSS office for more information.

Unclaimed Check Policy

ºÚÁÏÊÓƵ strives to compensate all employees, including student employees, in a timely fashion and according to the established pay schedule. The University is required to comply with the New York Office of the State Comptroller’s guidelines for employee compensation, including those governing unclaimed paychecks. Student employees are strongly encouraged to sign up for direct deposit; barring this, students are required to report to the Payroll window in the Couper Administration Building, Room 225, to receive their paychecks. Any paychecks left unclaimed for more than 30 days will be handled according to the Unclaimed Check Policy.

ºÚÁÏÊÓƵ Policy Regarding Harassment

Members of the ºÚÁÏÊÓƵ community have the right to participate in all that the campus offers without being subjected to physical violence, threats, intimidation or damage to personal property or any other form of harassing behavior.

ºÚÁÏÊÓƵ is committed to creating a safe and supportive learning environment, to becoming a more inclusive community and to fulfilling its obligations under federal and state laws, regulations and executive orders. Essential to these objectives is the maintenance of an environment in which individual dignity is respected, the richness of human diversity is welcomed and harassment is not tolerated.

Accordingly, it is the policy of ºÚÁÏÊÓƵ to prohibit harassment and to investigate allegations of such behavior promptly and thoroughly. This policy applies to students, faculty, staff, employees of the Research Foundation, contractors, vendors and visitors to the campus.

Campus and Workplace Violence Policy

ºÚÁÏÊÓƵ is committed to creating and maintaining a working and learning environment where violence or threats directed toward any members of, or visitors to, the University community are not tolerated. The University is supportive of a proactive stance regarding the elimination of workplace violence.
